What’s new in this release?

  • Subcontractors are now part of the standard permission matrix
    • New issue creation workflow
    • Access to equipment
    • Access to checklists
    • Access to new reports
  • Ability to view and restore deleted Checklist Templates in Project Admin > Checklist Configuration
  • Reports: Issue section of Checklist Details reports now includes issue comments
  • Photos: Photo caption input box size increased

 

New Subcontractor Role

  • Subcontractors are now part of the standard permission matrix
  • New issue creation workflow
    • Subcontractors can now create project issues and assign them directly to their own company or to the account company for further review and re-assignment.
  • Access to checklists without the need for tasks
  • Access to equipment
  • Access to new reports

We are pleased to announce, Subcontractors are now part of the standard permission matrix, providing project admins granular control over subcontractor workflows and feature accessibility.

To enable the new subcontractor experience, go to Project Admin > Details and check the ‘Use updated subcontractor experience’ box.Subcontractor Project Settings .jpg

Once this setting is enabled, Project Admins will notice a new subcontractor role in the permissions matrix.

Subcontractor permission settings:

By changing the subcontractor role’s issue permissions to View + Add, subcontractors can now, add new issues and assign these issues to their company or to the account company.  The new permission does not allow subcontractors to create new issues and assign them to other subcontractors.

Premium Content checklists available for starting up your projects

  • In order to help you implement QA/QC processes on your projects, we are making our premium checklist templates available to all of our customers.  To view the list of available checklists go to Project Admin > Checklists > Import and type in Vela Samples in the Project box.

    @krystian.macek I think what you have proposed would be the best option for existing projects. As we discussed, this issue will disappear moving forward with new projects.

    So you publish these works flows – which aren’t really achievable….you posted above in this post.

    You train your whole project team – these work flows — but can’t turn off the 6-8 standard issue status’s.

    What this means in the field is the Superintendent / QC Team in the field is reviewing the issue on their iPad…they sync their iPad then go to Room 123, pull up the open / work completed issues.  Since the author isn’t shown on the main issue screen you then have to open every issue scroll to the author and decide does it follow this workflow or does it go to the design team work flow and etc.  Some jobs might require a complex — more than a few status’s but probably half of the projects can easily be done with Open, Work Complete, Ready to Inspect, and Closed…but there is no way to turn / off.  If you are doing a small TI Finish Job you should be able to quickly reduce and simplify the issue status’s.  This has been posted several other times in the idea station.

    Would be great like the doc’s RFI’s like you create a workflow and assign the steps / process to the issue.  Maybe the sub doesn’t but the GC / CM.

    Thank you All for the valuable feedback!  

    We are considering ways to help you adopt the new subcontractor and checklist template permissions functionality on existing projects.  In respect to making Checklist templates only visible to account users and to specific companies, if your projects utilize the Company attribute, one possible path is to allow Project Admins to execute a one-time update to checklist template permissions as follows:

    1. For any checklist template where Company = some company, e.g. ACME Construction and is not empty and current Permission is set to: Visible to All Users, we would change the template Permissions to: Account company, ACME Construction (value from the Company drop down) 
    2. If you do not utilize Company attribute in the checklist template and it’s empty, then no changes to current template Permissions would be made.

     

    The above logic would ensure that templates that are only visible to account company users would be left untouched.  Templates where Company attributes are set to ACME Construction, the permission would be changed so that the template is only visible to account company users and ACME Construction and not to other companies on the projects.  All other companies would not see this new checklist template.

     

    Please share any additional thoughts on whether this approach would work for you on this thread.

    After going through ~120 projects today to update the new “Issue ID can be changed by” setting I totally agree with the need for global settings or the ability to push a setting down to all Live projects in a customer’s instance of BIM 360.

    @krystian.macek But Krystian, that is the point. We have around 200+ active jobs and unless we want every checklist visible to all sub-contractors – we must go into each project, each checklist and modify who and who cannot view the template. Out of 40-60 active checklist on a project, the sub-contractor really only needs access to 3 or 4. The rest is unnecessary clutter. Filtering visibility of filled-out checklist does not solve the problem.

    A global setting at the permission level is much more effective to reduce and add control.

    @M.Clippinger Access to checklist templates (which checklists can a user fill out) is controlled at the template level.  By default these permissions were not modified and each checklist template is either shown to all account users or everyone on the project including subcontractors.  Visibility of filled out checklists is controlled in the checklist filters.  The default filters that are available to all subcontractors are Checklists for Subcontractor, Open Checklists for Subcontractor and Closed Checklists for Subcontractor.

    The workflow for allowing Subcontractors to access checklist is great, and I know how to control “who” can view/access a specific checklist. …But if I activiate this new feature for all my existing projects, the Team must go into EVERY checklist and adjust who can view them – I don’t want or need the Subs to see ALL checklist.

    Is there a way to filter this new feature for Subs to “Only view checklist to which they are assigned”?

    With the ability to allow sub contractors to raise issues, it would be great to control which Issue Types they can use.

    In reference to my previous comment about not being able to create an issue from an iPad in the subcontractor role, I have discovered the solution.  There is a new release of the BIM 360 Field mobile app which must be installed first.  I installed the new app version and everything works fine!

    Does anyone know where I can find the workflow slide in Powerpoint format? This would be great for teaching the workflow.  A pdf would be awesome as well.  thanks

    I would like to have the option of removing the “updated subcontractor experience” from individual subcontractors. It is fine to have a box in the Details window to turn on the experience for the whole project, but it would help in enforcing good behavior to have the ability to turn off a specific sub if necessary (for a variety of reasons).  Adding another checkbox to “Preferences” in the “Edit Member” window would add a tremendous amount of flexibility to this feature.

    This is a great feature – one we’ve waited a long time for.  Now for a problem.  I assume it has already been built out to work on an iPad as well as the web interface.  I tried this out with my test user.  I changed the settings as described above.  Everything seems to work fine in the web interface, but after logging into my iPad and syncing, the create new issue + is grayed out and will not allow me to create an issue.

    This is awesome.  It will definitely make teaching this to my teams much easier. Before when asked why the subs were treated so differently all I could say was “this is just how it is, deal.” But, now when they screw it up it won’t be because it was confusing, more likely because they just were’t paying attention.

    I second all of David’s comments.  We’ve finally gotten an interface we’ve all wanted, but my concern is we now have open Pandora’s box for even more people messing up our database due to limited control/enforcement functions.  Don’t get me wrong, these are great and needed improvements, but we’re still lacking the administrative control needed to keep our data consistent.

    Another item that needs to happen is the ability to make companies active / inactive in the drop down.  A great example is the drilled pier subcontractor is one of the first companies on-site but there for the first month or two, but they appear in the drop down for the next year or two of the project.  There needs to be a way to make that company not appear on the drop down.  Now that more people are being in the issue creation area – all these things that have been ignored are going to become important on being deployed.  The more names you have in the company list – the more time it takes to find the right company.  Also, it makes for potentially bad data entry and someone having to re-assign things.

    Now that you have more people creating issues – it would be great if you have the ability to lock down the issue numbers – like only let the system pick them / assign them — so you don’t have a bunch of duplicate issues or people trying to put custom fields – no matter how many times you train and tell them people still try and put their own numbers in there.  Then you sit in meetings and have duplicate issue numbers or some that are numbers and some that are custom and when you review in a meeting things just fall apart.

    Also, it would be great if the “required fields” were really enforced when you create them from the iPad.  Currently even though you check required in the admin the iPad app doesn’t enforce the rule.
